Enhancing Your Tourism Business with Generative AI – 5 Steps to Getting Started

At a time where technological advancements are revolutionizing industries at an unprecedented pace, artificial intelligence (AI) stands at the forefront, promising transformative changes across the board. For the tourism sector, the emergence of generative AI is a pivotal innovation that can redefine operational efficiency, customer engagement, and market competitiveness. 

But as someone who spends countless hours listening to podcasts, reading blogs and following technology company updates, I can tell you first-hand that the landscape of AI can often seem overwhelming. I’ve heard many business leaders tell me they feel daunted by the prospect of integrating this technology into their operations. However, the essence of leveraging AI within your business lies not in mastering its complexities but in understanding how its applications can enhance your existing processes and solving your current challenges and pain points.

Generative AI, with its capability to create content, automate tasks, and generate innovative solutions, presents a golden opportunity for tourism businesses to elevate their services and customer experiences. Imagine crafting marketing campaigns that resonate on a personal level with each customer, developing content that captivates and retains audience interest, or streamlining operations to allow your team to focus on strategic growth. These are not mere possibilities, but tangible outcomes that generative AI can help you achieve almost immediately.

Yet, embarking on the AI journey can feel overwhelming without a clear starting point and focusing on the technology itself is a sure way to get you lost and discouraged. This is why I’m encouraging you to focus inward and to be technology agnostic – you know your business well and if you take a systematic, business focused, change management approach to generative AI adoption, your business will see the benefits. 

Here are the five essential steps I tell every company to take in order to seamlessly integrate generative AI into their business operations:

1.Cultivate a Corporate Philosophy on Generative AI: Establishing a set of beliefs and principles regarding the ethical use of AI is crucial. This philosophical groundwork ensures your approach to AI aligns with your company’s values and mission, fostering a culture of responsible and thoughtful AI integration. 

Before this belief system can be developed, it’s critical to first begin having some internal conversations about AI. Ask your leadership team and your staff if anybody has been experimenting around with it – both personally and professionally – and you may discover that you have some great AI champions who can take the lead internally. It’s also important to understand whether people in your company think generative AI offers great potential or will eliminate their jobs – in other words, are employees fearful or hopeful or both? This is important information that will help you to determine how best to move the conversation forward and what tone to take.

Fundamentally, generative AI will be a technology that ushers in change, so thinking about it from a change management perspective is helpful – and effective change management starts with effective communications and the development of safe ways for people to share and learn together. 

Step 1 will likely take some time and it will also evolve as you go down the path of AI adoption. While it’s important to get going on AI adoption in your business, it’s equally important to begin internal dialogue about AI carefully and deliberately. The last thing you want is for the potential of generative AI to get stopped inside your company before you even get started by unnecessarily stoking fear and creating resentment.

2. Invest in AI Literacy: Knowledge is power, and in the realm of AI, this holds true. Engaging with AI-related educational opportunities, such as sessions available through industry conferences and workshops, or by hiring a consultant for internal training, empowers you and your team with the insights needed to navigate the AI landscape effectively. 

It’s critical for your company’s leaders and staff to have a “common understanding” about what AI technology is and its implications and potential applications, before you can get organization-wide adoption and buy in. This is so critical and I can’t emphasize it enough – take the time to learn about AI as a team and then implement a method of continuous learning and transparent sharing about AI – this will lead to successful adoption and buy in more than just about anything else you do. This foundational knowledge is vital for informed decision-making and strategic planning, so don’t skip this step! 

3. Form an AI Working Group or Task Force: Assembling a team with cross-functional expertise to steer your AI initiatives ensures a holistic approach to integration. This group acts as the catalyst for your AI strategy, bridging the gap between technological potential and practical application within your business operations.

When forming this group, it’s important to create clear parameters, timelines and expectations. You may want to consider something like a working group charter that all participants agree to that establishes the rules of the program. I strongly recommend that the most senior leaders in the organization, including the President/CEO/Founder, be involved and actively engaged. At the same time, while these senior leaders should be engaged, it may be a good idea for someone different to lead the group. This committee and its make up will look different for every organization based on a number of factors, but the important considerations are that it is cross-functional, empowered with clear direction, has clear rules and timelines and senior level engagement for decision making and strategic oversight. 

4. Conduct an AI Business Analysis: Understanding your current position and future aspirations is key to a successful AI journey. An AI business analysis helps identify areas where AI can have the most impact, setting the stage for strategic implementation and innovation.

The AI analysis process is also a great way to have structured conversations within your organization about current AI use, beliefs and fears about AI and its impact on jobs and the work people do, to discover possible use cases and the problems different people think AI can solve. 5. Develop a Strategic AI Roadmap: A well-defined plan detailing how AI will be utilized within your business ensures focused progress and measurable outcomes. This roadmap not only guides your AI initiatives but also helps in managing expectations and aligning efforts with business objectives.

There are several important components to include in your roadmap, including an AI vision and goal statement, language around AI governance and ethics, the definition and scope of your AI leadership committee, an assessment of your current technology, language about your data strategy, information about current skills and an AI training program, a definition and roadmap for defining AI pilot projects, AI integration plans and scaling strategies, metrics for evaluation and mechanisms for feedback, a risk management and mitigation strategy and an internal and external communications plan.
